This role administers MOD’s Leave and accommodation program. This position coordinates with personnel, management, vendors, agencies and MOD’s People and Legal Department. This includes performing research and analysis of leave policies to ensure up to date regulations and compliance. The Leave Accommodation Specialist supports the Sr. Manager of Total Rewards in managing relationships with vendors and carriers. This role will work closely with the Director of People Support and the members of the People Support team. This role coordinates all leave administration, tracking and concluding leave of absence instances.

Key Responsibilities

  • Serve as the subject matter expert for leaves and accommodations in collaboration with People and Legal. 
  • Interpret leave and accommodation policies to facilitate administration, respond to questions, and interface with carriers independently to solve complex problems.
  • Administer the company’s disability program which will include reviewing disability status reports and partnering with third party administrators to ensure payments are timely and statuses are updated accordingly.
  • Act as the main point of contact for the leave of absence requests.
  • Ensure leave policies are updated and in compliance with all federal, state, and local regulations, coordinate with Legal as necessary.
  • Counsel managers regarding leave of absence and accommodation programs, utilize resources from third party leave administrator.
  • Works closely with Squad members to ensure that medical documentation is submitted for timely review. Maintains contact with Squad members on leave and supports all aspects of return to work from leave. Return to work programs may include light duty, specialized schedule and accommodations, collection of release documents. 
  • Maintains reasonable communication with employees on leave to facilitate smooth and timely return to work; relays communication between employees and their managers during leave within reason.


Key Responsibilities Continued

  • Produce tracker to be submitted to payroll on a biweekly basis including evaluation of available sick, leave, vacation hours. Tracking unpaid LOA. Ensure TPA is producing W-2s and remitting taxes.
  • Interface with benefits team to coordinate benefit eligibility, transitions to COBRA and payment of premiums while on leave. Reconciliation of payments made to employees on leave. 
  • Coordinates with People Support team to maintain HRIS status for employees initiating and closing leave, administer all aspects of leave in ADP Vantage.
  • Utilize TPA to track FMLA and interpret available Leave benefits.
  • Log Workers Compensation with TPA and WA LNI liaison, communicate with the employee and manager. The TPA typically conducts the investigation. Interface with TPA for return to work program and light duty job offers. 
  • Manage Workers Compensation program, state leave benefits and Short-Term Disability carrier, knowledge of State Insurance programs; such as SDI, Paid Family Leave Insurance in various states.
  • Maintain leave of absence request form, HR Support medical personnel files, process carrier intake forms. Maintain confidential personnel files, notice of leave documentation. Maintain up to date leave forms and resources on the company intranet, updating documents and information on a regular basis.
  • Utilize and create ad hoc reports from ADP Vantage and TPA.
  • Support expedited requests for urgent leaves as needed.
  • Stay current on changing Federal and State regulations and legislation that may affect employee leave.
  • Support MOD Benefits team, administer benefits and resolve employee inquiries.

Basic Qualifications

  • Minimum of 3 years of Human Resource experience and 2 years of leave administration experience for large size companies preferred
  • Familiarity of Title VII, ADA, ADAAA and FMLA Expertise, SDI policies
  • Knowledge of Microsoft Office Suite and HRIS databases (Success Factors and ADP Vantage a plus)
  • Possess strong written, verbal and customer service skills, and attention to detail
  • Ability to work independently and in a team environment, possess strong problem-solving skills and the ability to prioritize
  • An understanding and commitment to MOD’s values

Physical Requirements

Office work involves remaining in a stationary position most of the time in front of a computer, using a keyboard, mouse and telephone. Regularly operate a computer and other office equipment. Occasionally move about the work site to access file cabinets, office equipment, etc. Exert up to 10 lbs. of force occasionally, and/or a negligible amount of force frequently or regularly move objects. Communicate and exchange information with co-workers and other individuals in person and electronically.
