Compensation: $24.23 - $28.50

Actual salaries will be based on candidates qualifications, competencies, experience and geographic location. .

Summary

MOD is seeking a full-time Admin Operations Coordinator who will be responsible for managing office operations, lease administration, and providing executive support to the COO. The right candidate is a utility player who welcomes a varying set of tasks and responsibilities each day, ensuring that operations run efficiently and effectively.

 

This role requires strong attention to detail, discretion, and the ability to manage multiple priorities while supporting executive leadership. The ideal candidate is proactive, organized, and thrives in a fast-paced, growth-oriented environment.

 

Work Location and Schedule Expectations

The Admin Operations Coordinator will work Monday – Thursday onsite in our Support Center located in Bellevue, Washington. Home office/remote work is permitted on Friday; employees can work in office 5 days per week if they prefer. Your schedule is a standard business day and has flexibility to come in early or stay late based on your personal and work demands. This is a full-time position.

Key Responsibilities

Office & Operations Management

  • Oversee day-to-day office operations to ensure a smooth, efficient, and professional work environment - Coordinate office maintenance, supplies, and vendor services
  • Serve as primary contact for building management, including maintenance, repairs, and service requests
  • Manage incoming and outgoing mail, shipping, and P.O. Box pickups
  • Maintain office organization,
  • cleanliness, and functionality

Lease Administration

  • Manage the lease administration inbox and track all lease-related documentation
  • Maintain accurate records of lease agreements, renewals, and critical dates
  • Coordinate with internal stakeholders and external partners to ensure timely communication and compliance
  • Monitor lease obligations and escalate issues as needed

Admin Assistant to COO

  • Provide direct administrative support to the COO
  • Manage calendar scheduling, meeting coordination, and travel arrangements
  • Prepare reports, presentations, and meeting materials
  • Assist with internal communications and follow-ups on key initiatives - Act as a liaison between the COO and internal/external stakeholders

General Administrative Support

  • Answer and manage office phone line and communications professionally
  • Support cross-functional teams with administrative needs
  • Assist with special projects and initiatives as assigned

Basic Qualifications

  • 1–3 years of administrative, office operations, or executive support experience in rapidly adaptive organization
  • Proficiency with Microsoft Office 365 (Outlook, Word, Excel) and ability to learn new systems quickly
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple priorities and deadlines effectively
  • Strong communication and interpersonal skills
  • Ability to handle confidential information with discretion

Physical Requirements

Office work involves remaining in a stationary position most of the time in front of a computer, using a keyboard, mouse and telephone. Regularly operate a computer and other office equipment. Occasionally move about the work site to access file cabinets, office equipment, etc. Exert up to 10 lbs. of force occasionally, and/or a negligible amount of force frequently or regularly move objects. Communicate and exchange information with co-workers and other individuals in person and electronically.
